UTARMS Digitization Request Process 2026-2027

As the University of Toronto approaches its Bicentennial in 2027, the University of Toronto Archives & Records Management Services (UTARMS) is operating under temporary capacity constraints that affect our ability to process digitization requests. 

At this time, UTARMS may be able to accommodate small digitization requests on a limited basis. These requests are intended to support researchers who are unable to visit UTARMS in person and who are located outside the Greater Toronto–Hamilton Area or beyond regions of southern Ontario that are readily accessible to UTARMS by public transit. 

University administrators preparing a unit history for the Bicentennial should submit their request through the University Archivist

Eligible digitization requests must meet all of the following criteria: 

  • Require no more than 30 minutes of archival staff time 
  • Be limited to 4–5 files from a single collection 
  • Consist of no more than 50 pages of material 

Due to resource limitations, UTARMS will not accommodate requests to digitize full theses as of summer 2026. 

Requests that exceed these limits cannot be fulfilled by UTARMS staff. If your research requires more extensive digitization, patrons can consult the Archives of Ontario’s list of independent researchers for hire. 

All digitization requests are assessed on a case‑by‑case basis, and fulfillment is at the discretion of the University Archivist. 

We anticipate expanding our digitization capacity in summer 2027 and appreciate your understanding as we balance access to our collections with ongoing Bicentennial preparations.
